This notice explains what we do with the personal information we hold about you when you use our website, request a valuation, register your interest in a property, view a home with us, or become a landlord or tenant client of Zee Properties MCR ("we", "us", "our").
1. Who we are
Zee Properties MCR is a residential letting and sales agency based in Manchester, United Kingdom. We act as the data controller for the personal information described in this notice. You can reach us at info@zeeproperties.co.uk.
2. The law we follow
We handle personal data in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations 2003 (PECR). Where we act as an estate or letting agent we are also subject to the Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017, which oblige us to carry out identity checks on buyers, sellers, landlords and tenants.
3. What we collect
- Contact details: name, phone number, email address and postal address.
- Identity and right-to-rent evidence: passport or ID, visa status where relevant, proof of address.
- Financial information for referencing: income, employment, previous landlord references and, where you apply for a mortgage introduction, affordability information.
- Property information: viewing history, offers made, tenancy history and maintenance requests.
- Website data: pages viewed, approximate location derived from IP address, device and browser type, and cookie identifiers (see our Cookie Policy).
4. Why we use it and our lawful basis
- Contract - to progress an offer, tenancy or sale you have asked us to act on.
- Legal obligation - to run anti-money-laundering, right-to-rent and tax reporting checks required of us as an agent.
- Legitimate interests - to reply to your enquiries, prevent fraud, keep records of our conversations and improve our website. We have balanced these interests against your rights.
- Consent - for optional marketing emails and non-essential cookies. You can withdraw consent at any time.
5. Who we share it with
We only share information with organisations that need it. Typical recipients include referencing and right-to-rent providers, deposit protection scheme operators (an authorised UK scheme such as the DPS, MyDeposits or the Tenancy Deposit Scheme), our accountants, HMRC, local authorities, contractors carrying out repairs on instruction, solicitors handling a sale, and - where the law requires - the police, Trading Standards or the Property Ombudsman. We do not sell your data.
6. Sending data outside the UK
Some of our suppliers (for example our email provider) may process data in the European Economic Area or the United States. Where that happens we rely on the UK's adequacy decisions or the International Data Transfer Agreement, with appropriate safeguards in place.
7. How long we keep it
We keep tenancy and sale files for at least six years after the end of our engagement to meet HMRC and limitation-period requirements. Anti-money-laundering records are held for five years after the transaction in line with the 2017 Regulations. Marketing preferences are held until you unsubscribe. Website analytics data is aggregated and kept for no more than 24 months.
8. Your rights
You can ask us to:
- give you a copy of the data we hold about you;
- correct anything that is wrong or out of date;
- delete data we no longer need to keep;
- restrict or object to how we use it;
- move your data to another provider in a portable format; and
- withdraw your consent to marketing at any time.

9. Security
We use encryption in transit, role-based access controls and audit logging on our systems. Only staff who need to see your file for their work can open it. If a personal data breach occurs that is likely to affect your rights, we will tell you and the ICO without undue delay.
10. Changes
When we update this notice we will post the revised version here and change the "Last reviewed" date at the top. Material changes affecting how we use your data will be communicated to clients directly.
